Outlook Desktop Shortcuts

I am on several committees. This requires me to send several emails to several people on a weekly basis.
Follow the next steps to create an e-mail shortcut using Microsoft Outlook.

  • Right Click on your desktop

  • Select New

  • Click Shortcut – The Create Shortcut dialogue box will appear

  • Type in mailto: followed by an email address

    • Example: mailto:someone@somewhere.com .

  • You can also add more than one email address by separating the addresses with a semicolon (;).

    • Example: twinters@columbiastate.edu;gwinters@columbiastate.edu

I will use faculty@columbiastate.edu in my example
 

  • Click Next

  • Enter a name for the shortcut

  • I will call my shortcut “Email to all Faculty”

  • Click Finish

  • You should see a shortcut on your desktop

When you double-click the shortcut that you have just created, it should open a new email message with the email recipient already in the To field of the email message.

If you want the shortcut to automatically add an email and a subject, do the following:

  • Right Click on your desktop

  • Select New

  • Click on Shortcut – The Create Shortcut dialogue box will appear

  • Then type mailto:someone@somewhere.com?subject=what ever you want the subject to be

    • Example: mailto:faculty@columbiastate.edu?subject=FTM Tech Tip

  • Click Next
  • Enter a name for the shortcut

I will call my example “Tech Tip Email to All Faculty”

  • Click Finish
  • You should see a shortcut on your desktop

When you double-click the shortcut that you have just created, it should open a new email message with the email recipient already in the To field of the email message and the subject line should be populated.
