Invite attendees to a meeting through Outlook

Did you know that you can invite attendees to a meeting through email and have that meeting directly entered into your Outlook Calendar? -

  1. Open Outlook

  2. In Calendar View, create the scheduled meeting

  3. Go to the day of the meeting and double click on the time of the meeting

  4. In the “SUBJECT” row, name the meeting

  5. In the “Location” row, include the place of the meeting (building and room #)

  6. In the “START TIME” and “END TIME” rows, make sure you enter the beginning times and date

  7. Click “INVITE ATTENDEES” button

  8. Click “TO” button and select attendees from the Global Address List and/or Contacts in the “Show names from the:” column 

  9. Click “OK”

  10. Double check the meeting information you entered above

  11. Click “SEND” button. You are finished. Always include yourself in the distribution list (“TO”) so you will know when each attendee received the invitation. As the invitees respond, you will know who to expect or you will know to reschedule at a better time
